
What is progressive profiling and when do you use it?
Progressive profiling is a HubSpot feature that allows you to display form fields differently to known leads than to new visitors. First visit: name + email. Second visit: company size. Third: role. This keeps forms short (and conversion high), while your data still becomes complete over several touchpoints. Works in Marketing Hub Professional and higher; setup takes 15-30 minutes per form.
What exactly does progressive profiling do?
A traditional HubSpot form always displays the same fields. If your demo request form asks for 8 fields (name, email, phone, company, company size, industry, role, goal), then every visitor — known lead or not — has to fill in all those fields. That costs conversion.
With progressive profiling, HubSpot checks if the visitor already has a contact record. Is a name and email already known? Then the form no longer displays those fields, and instead takes fields from a "queue" — for example, company size and role. The result: a 3-field form for existing leads, full of new information.
When is progressive profiling useful?
- You have many returning visitors. In content marketing strategies where people make multiple downloads before converting, progressive profiling provides new data with each download.
- Your sales team wants more than 5 data points per lead. But your marketing team wants short forms. Progressive profiling is precisely that compromise.
- You already have a good contact data model. Fields must exist for the queue, and your workflows must run on those properties.
Not useful if: your site has <500 form submits per month (too little data to learn anything), your leads are almost all first-time visitors, or your sales cycle is so short that the first question is already enough.
How to set it up (short step-by-step guide)
- 1. Open your form in HubSpot, click on a field and choose "Queue".
- 2. Add "alternative" fields that are displayed if the main field is already known.
- 3. At the top, set: "If known, hide" for fields like name and email that have already been filled in.
- 4. Test with an incognito browser (= unknown) and with a logged-in visitor (= known).
- 5. Monitor your form analytics: question progression and ultimate completeness of contact records.
Common mistakes
- Too many queue fields at once. With 5 queue fields, you still see a long form. Keep it to 1-3.
- Mandatory queue fields. A queue field must always be optional, otherwise you break conversion for unknown visitors.
- No smart content included. The effect is stronger if, in addition to progressive profiling, you also use smart content (e.g., a different hero text for known leads).
- Not measuring. Compare submission rate before and after implementation. Without data, you don't know if it works.
Frequently asked questions
Does progressive profiling work with embedded forms on external sites?
Yes, but only if the visitor has been identified via HubSpot tracking cookies. On a Webflow or WordPress site, it therefore only works for visitors who have previously interacted with HubSpot content or came via a tracked email link.
Which HubSpot tier do I need?
Marketing Hub Professional (~€792/month) and higher. Marketing Hub Starter does not support queue fields.
How many data points can I put in the queue?
Technically unlimited, practically you keep it to 5-8 in total spread across all forms. Otherwise, you lose overview of your data model.
What if a field in the queue is already known?
HubSpot automatically skips that field and displays the next field from the queue. Hence the name "progressive".
Can I also do this with Salesforce or another CRM?
Yes, but the syntax differs. In Salesforce, the comparable process is called "smart forms" via Pardot or Marketing Cloud Account Engagement. The principles are the same.
How do I combine this with GDPR?
Every queue field, like any other field, must have a legitimate purpose and be mentioned in your privacy statement. Add an explicit consent checkbox to each form.
